So what does the vice-presidency involve?

Well the one good thing is that its only a pseudo-official position. That means you don't have any finacial responsibility for the club and the union won't come after you if things go pear-shaped. It also means that you're not obligated to attend all the boring union/rcc/sac meetings, so if the pres/treasurer trys to make you, tell them where they can go paddle...

The down side is that the president tends to dump most of the running of trips and booking other stuff onto you. The main responsibility of the vice president seems to be booking the hut and keeping the "book of death" up-to-date.

How To Book The Hut

You contact Sport Imperial from their website here.
The hut booking form can be found here. Once you've booked the hut (would recommend sometime in August to beat the rush), you'll get hassled for the next of kin info of everyone going. About a week before fill it all in (using the info in the "book of death") and send it to Sport Imperial. They will then give you the current hut entry code.
When you leave the hut you'll have to fill in the safety checklist. Return a copy of this to Sport Imperial on the Monday morning and tell them about any breakages, etc.

The Book of Death

This is a little blue folder that the old vice-pres will pass onto you when you take over (or 6 months after in my case!). It contains people's names, contact numbers and next of kin names and contact numbers. These are needed for hut registration.
It's your job to keep it up-to-date. So whenever there's a trip and you have newbies going, you need to extract all this info out of them.
This probably totally contravenes the data protection act, but sport and leisure insist on it, so sue them!

Booking Campsites for Surf Trips in Devon

Lobb fields campsite in Braunton. Phone them on 01271 812090. They charge £10 deposit per pitch (need 3/4), put on credit card and ask for VAT receipt. Have to be there before 11pm on the Friday.
Little Roadway Farm Camping Park near Wollacombe. Cheaper than above. Less of a family campsite, they cater for groups and there is NO BARRIER to prevent you arriving late. Give them a bell on 01271 870313 to say Hi a few days before you go and check this info is correct. You can pay the next morning, get people to do it individually.

Tour Organisation

There are three tours per year. Usually the Christmas one is to Yorkshire or Scotland and will have quite a few people going. The Easter one is usually a small mission to somewhere like the Pyrenees or Corsica. The big summer one is usually the Alps.

This year I got lumbered with the red tape for the first two (although any committee/club member could do this).

You basically have to submit a request for tour money to the rcc chair/SAC people before the deadline (found here). And then turn up to the relevant SAC meeting and defend your application. Tour money can be anything up to 32%, but is usually rubbish for the first two trips.

A report has to be made for each tour and sent to the rcc chair and Felix. If someone doesn't do this they can withhold tour money for the next tour.

Trip Reports

These are more often than not written by you. For a trip a couple of pages summarising what you did on the weekend (which rivers, who swam, who got the most drunk, etc). Send it out on the email list once you've done it and the digimeister/someone will put it on the website. You may also wish to send it to Felix for publication (felix@imperial.ac.uk), attach a couple of choice photos as well.

Other Stuff

Chances are the president may dump other things on you throughout the year. If one of these is to organise printed sweatshirts don't do it. Trust me.
