Club Finance

This page explains how the club runs financially, and the kind of fun things the Treasurer (Committee position) gets to organise. This also answers a few questions that seem to keep poping up all the time.

Paying Money In

To pay money in the treasurer can take a cheque made payable to "Imperial College Union" or "ICU". Cash also works. When I took cash I found it hard to remember who had paid what.

Getting Money Out

You cannot get money out of the club without giving the treasurer a receipt - no exceptions. These are then submited to the rcc treasurers meetings (currently on thursday evenings. Cheques can sometimes be picked up the following tuesday, but this can vary.
Basically it takes a week to get money out of the club account.

Finally PLEASE PLEASE try and remember to get full VAT receipts for all of your purchases - we can get some VAT back.

Transport and Money

The club books union minibuses to take people away on trips. If you feel the need to check out the fleet you can view them here. Prices for hiring buses can be found here.
If you want to drive a minibus you need to be 21 or over with 2 years driving experience. Because you are not driving for hire or reward (i.e. you aren't getting any money for it) you don't need a different license from the DVLA. You still need to sit a union test.
You can see a history of the buses the club has booked here.
If they are highlighted in blue it means they have not been charged to our account. If in green, then it means that they have. The union is normally miles behind with this.

You can view the clubs budget here. The budget is the money we requested for that year, while the transactions page actually shows what we spent when. I don't suggest you spend much time (if any) looking at it. Note that the union sometimes freezes budgets if you haven't submited some paperwork. Actually they tend to freeze it even if you have, but don't worry about this, it's not normally a problem.
Our money is realeased on a ratio of members we have raised against members we said that we would get. The minimum membership fee is fixed against the amount of money we ask the union for. It's all a bit complicated but if people could actually pay membership when asked to by someone as oposed to making up a rubbish excuse it would actually mean that we have money to do stuff - no members means no money, which means nothing happens.
